Creating and Managing Programs

How to set up the programs (lesson types) that your school offers, including fee configuration.

A program is the type of lessons you offer — for example Diploma A or Beginner Adults. Programs are the building blocks of your class schedule: every class must belong to a program, and the lesson fee is set at the program level.

Create a new program

  1. Go to Settings → Class Settings → Programs
  2. Click + Create program
  3. Fill in the Program name (up to 50 characters)
  4. Decide if the program charges Lesson fee or Fixed fee. See description below.
  5. Enter the Lesson fee/Fixed fee in euros — this is the price charged per lesson or month
  6. Click Save

The program is now active and available when creating classes.

Choose between Lesson fee or Fixed fee

If you charge students per lesson, the fee is multiplied with the number of lessons in a given month. For example, if the lesson fee is €10 and there is 4 lessons scheduled in a month, €10 x 4 will be charged. If there is 5 lessons in the next month, €10 x 5 will be charged instead. If you select this option, write the fee for the individual lesson in the fee field.

If you charge the student a fixed fee per month, the fee does not change depending on the number of lessons. For example €40 will be charged every month, no matter the amount of lessons. If you select this option, write the fee for the whole month in the fee field.

Edit an existing program

  1. Go to Settings → Class Settings → Programs
  2. Click the pencil icon next to the program you want to edit
  3. Update the name or lesson fee
  4. Click Save

Note: Changing the lesson fee on a program affects all new and existing classes created under that program. All upcoming lessons will be updated with this price. Thus, only change the price when you want it to take effect immediately. If you have lessons that are completed, but not yet charged for, they will keep the previous price.

Inactivate a program

If you stop offering a program (for example, at the end of a program offering), you can inactivate it:

  1. Click the pencil icon next to the program
  2. Click Inactivate program

Inactive programs no longer appear on the registration page or in the class creation form, but all historical data (classes, students, invoices) is preserved.

To see inactive programs in the list, use the Status filter and select Inactive.
