How Registrations and the Waitlist Work
An explanation of the end-to-end registration flow - from a student signing up online to a student being placed in a class.

Students or parents register for swim lessons via your club's public registration page. Once they submit the form, their child appears in your Registrations list as a waitlist entry. The administrator then reviews the registration and assigns the student to an appropriate class.
The registration flow

Family signs up online — They visit your registration page (accessible via Registrations → Open registration page or directly via the link you share with them). They select a waitlist, fill in the child's details, choose their preferred days and times, and submit. They are also sent to Stripe for completing their registration, where they sign up as a customer (so that their subscription can start once they enter a class) and pay their waitlist fee (if there is any).

Registration appears in the system — The new entry shows up under Registrations → All Registrations with the registration date, student name, gender, age, waitlist, location, and day preferences.

Admin reviews and assigns — You review the registration and assign the student to a class that matches their preferences and has open spots. See Assigning a student from the waitlist.

Student becomes active — Once assigned, the student moves out of the waitlist and into a class as an enrolled participant. Their subscription is automatically created in the background, and they will be charged for lessons.
What information is captured at registration

Filtering and sorting the registrations list
Use the filters at the top of the Registrations page to find specific entries:
- Waitlist — filter by program/waitlist type
- Location — filter by preferred pool
The Preferences column shows a compact view of which days the family selected (M T W T F S S — active days appear highlighted).
Adding someone to the waitlist manually
If a family contacts you directly (by phone or email), you can add them manually:
- Go to Registrations
- Click + Add to waitlist
- Fill in the required information
This creates the same kind of waitlist entry as an online registration. Note, however, that you need to charge the waitlist fee manually (we suggest using the Invoicing feature in Lime Sportadmin) if you want to collect this for the manual registration.
